Enabling multi-factor authentication

Summary

Turning on multi-factor authentication (MFA) adds an extra layer of security to your Kotis login by linking your account with an authentication app/provider of your choice. The following sections will provide instructions on managing MFA for your individual account. Please note that we currently only support MFA with an authenticator app, not via text/SMS.

Enable MFA

1. On your MyKotis home page, click the "PROFILE" link in the top right menu bar:

2. Check the box next to "Enable multi-factor authentication" and click "Update."

3. You'll see the success notification shown below, which provides further instructions. If you do not want to set up your authentication method right away, you will be prompted to do so the next time you sign in.

To set up your authentication methods immediately, log out of your account by clicking "LOGOUT" in the top right menu.

Then, click "Login" again on the next screen:

4. Follow the log in steps by entering your email and clicking "Continue", then the "Sign in with [your org name]" button. 

5. The next step is to add your Kotis account to your authenticator app. This process may look different depending on which authentication provider you use.

Open your authenticator app on your device and locate where you can add a new account. Select the option to scan a QR code, and point your device's camera at the QR code displayed on the page. Once "Kotis Design" shows up in the list of accounts in your app, enter the code displayed in your app into the "Enter your one-time code" field on the page, then select "Continue."

If you have problems scanning the QR code, click on the "Trouble Scanning?" text. Copy the code provided on the page into your authenticator app. Once "Kotis Design" shows up in the list of accounts in your app, enter the code displayed in your app into the "Enter your one-time code" field on the page, then select "Continue."

6. Success! You will be redirected to your MyKotis home page. 

Using MFA

Once you enable MFA, you will be asked to provide the one-time code generated in your authenticator app each time you log out and back into your account. Open the app, locate the account titled "Kotis Design," enter the code shown in your app on the "Verify Your Identity" screen, and click "Continue" to log in.

Disabling MFA

1. On your MyKotis home page, click the "PROFILE" link in the top right menu bar:

2. Uncheck "Enable multi-factor authentication" and click "Continue."

3. MFA will be removed from your account, and you will no longer be asked for a one-time code at every login.

Changing your authenticator

Follow the steps directly above to disable MFA for your account, then follow the "Enable MFA" steps again using your other authentication app.
