Delivery Requirements for Shipping Products to Kotis
Inventory Exclusivity Provision
Before sending products to Kotis warehouses, please note the Inventory Exclusivity provision in our contract. You must allow Kotis to bid on all items sent to our warehouse. For more details, refer to our guide, Understanding Non-Kotis Made Products.
If Kotis is unable to produce the product for you, you can send it to our warehouse once approved from our team. Non-Kotis-produced merchandise will be charged a fee equal to 20% of the product value. This 20% fee covers the cost of warehousing, fulfillment, packaging, cycle counting, insurance, end-user support, and more. We cannot provide those services at no cost for items that we did not make. This fee does not apply to inventory being transferred to Kotis as part of initial onboarding, as long as you tell us about the inventory before signing and follow our delivery guidelines.
Necessary Information for your PM
To process your incoming inventory, please provide your PM with the required information below:
- Item name and description, quantity, color, item value
- Tracking # if shipped. If not yet shipped, estimated arrival date. Tracking # required once shipped.
- Any details regarding the shipment, for example, a reference # on the box, where it's coming from, package type, etc. Adding the Kotis incoming inventory (IIR) # is preferred.
Other helpful information for faster check-in:
- Photo of each item
- Where you'd like the item(s) listed (ie portal or category)
To ensure your product is listed correctly and checked into your inventory, please follow these requirements for all incoming packages to Kotis warehouses. Items that do not meet these requirements may be delayed or refused.
Packing Slips
Information required per shipment:
- Total Qty Shipped
- Total # of Boxes in shipment
- Qty of items per Box
- Item Description
- If packing slip is inside of box, the box containing the packing slip must be marked for easy retrieval
Information required per box:
- Total Qty/Box
- Mixed cases must list on the outside of each box the description/item#/color of items inside
- Box # of total shipment (i.e. 1 of 3)
- PO # and Invoice #
- Provided Kotis incoming inventory #
Warehouse Address & Hours
- Delivery appointments are not required for shipments of 3 pallets or less
- Confirm with your PM the correct warehouse location of your inventory set.
- Receiving Hours: 10 AM-3 PM (M-F) Local warehouse time

Additional Information
Pallets
- Every package on the pallet must follow the instructions listed above.
- Pallets over the set weight will be broken down to meet Kotis requirements
- No pallets
- Over 3 pallets require a delivery appointment scheduled no less than 24hrs in advance
- Deliveries without an appointment can cause delays

Items We Do Not Recommend Warehousing
- Anything considered “Hazmat” by the shipping carriers, including flammable items & products containing Lithium-Ion batteries must be approved before shipping to Kotis. Shipping Hazmat guide is available for more details.
- Gift cards of any amount
- Items over $250 or high perceived value items (ie: Expensive name brand items, Playstations, Apple products, etc)
- Anything exceeding any of the following:
- Over 100 pounds.
- Over 165 inches in length and girth combined.
- Over 108 inches in length.
- This may include tradeshow material, including but not limited to, TV's, monitors, large display booths, expensive backdrops, etc.
Items We Will Not Warehouse
- Weapons
- Explosives
- Illegal substances
- Alcohol
- Tobacco
- Cannabis
- Flammable Liquids
- Tech or computer equipment
- Tradeshow items (only accepted in pallet)
- Large items

Prop 65 Compliance
The Safe Drinking Water and Toxic Enforcement Act of 1986 (also known as Proposition 65) is an environmental protection law requiring businesses selling products in the state of California to notify consumers about significant amounts of chemicals in the product they purchased.
These warnings come in the following forms:
- Physical warning labels Kotis applies to all products shipping within California
- Website warnings that pop up on the checkout page if a California address is listed as the delivery address
Common promotional items on the list include certain makes of sunglasses, earbuds and drinkware.
Kotis Produced Merchandise: Kotis handles confirming with vendors if items are Prop 65 complaint.
Non-Kotis produced merchandise: Client is required to research with their vendor if the items are Prop 65 complaint. Client must communicate whether the items require Prop 65 labelling when sending product to our warehouses.
