Collecting Credit Card Payments from End Users

General Information

Kotis can collect credit card payments from end users on your behalf and distribute those funds directly to your organization. To securely process these payments, your organization must onboard with our third-party credit card processor, Stripe Connect

Due to federal financial disclosure requirements, you'll need to provide business information and link a bank account before payouts can begin. Once set up, payments are processed through Kotis and funds are deposited directly into your linked bank account.

How Payouts Work

Payouts are configured at the organization level and apply to all of your credit card portals. All proceeds are deposited into a single linked bank account. Funds cannot be held for future use.

Payout cadence

Payouts are currently issued on a weekly basis.

Refunds and adjustments

If a refund is issued:

  • The amount is first applied against your recent sales.
  • If sales do not cover the refund, the remaining balance is withdrawn from your bank account.
  • This withdrawal may appear as coming from Kotis. Improvements are in progress to make this process more transparent and provide advance notification.

Reporting & Visibility

How can I see what's included in each payout?

If your organization is receiving credit card payouts, you'll see a "Payout Transfers" report in your reporting dashboard. From this report, you can view details for a specific payout or export payout data as a CSV file.

The report includes:

  • Orders included in each payout
  • Shipment dates
  • Transferred and reversed amounts

Help & FAQ

Is there any cost to our organization?

There are no setup or payout fees charged directly to your organization. Kotis includes a Retail Portal Transaction Fee in your program agreement, which covers costs associated with payment processing and payouts.

Can I set up payouts for only specific portals?

No - if you have multiple credit card portals, all proceeds will be deposited into your linked bank account.

Can I receive payouts on a different schedule?

No. Payouts are currently issued on a weekly basis.

Why did I see a withdrawal from Kotis in my bank account?

If a refund exceeds your recent sales, the remaining balance is withdrawn from your bank account to cover the difference. This may appear as coming from Kotis.
