Russell Investments Award Orders

Lasermach acts as a decorator only on these orders, and OPA will act as “Garment Ordering” in the sense that OPA will order blank goods from inventory to send to the decorator & track their delivery before the decorator can proceed with the order. Once the decorator receives the blank goods, OPA resumes their normal functions with the order and these orders are treated as “Deco” orders, even though they are handled by the Promo team. Follow the steps below to succeed with Russell Investment Awards orders.

  1. AM submits an order; it appears in our queue as a reorder.
  2. Check Production Notes for any Will Call notes
  3. Pull up Will Call listed in notes, check for any discrepancies. You may need to create a new will call or a secondary will call to correct any mistakes.
    1. Is it for this order or a previous order?
    2. Are quantities correct/matching job page?
    3. Is it shipping to Lasermach?
    4. Is there an SR associated with it?
    5. Are bases AND cubes listed on the will call?
  4. If no will call is listed, create one, then create an SR. Follow the steps below.
    1. Navigate to Russell Investments Group inventory set; go to Customer Area, Select Inventory Management.
    2. Locate the corresponding SKU for the year award on the job page & include one base per award, unless otherwise specified on the job page
      1. 1091-81 – Bases
      2. 1091-82 – 5-year Cubes
      3. 1091-83 – 10-year Cubes
      4. 1091-84 – 15-year Cubes
      5. 1091-85 – 20-year Cubes
    3. Input the # of awards needed for each SKU, don’t forget bases for each!
    4. Create will call & enter will call number on the job page under Production Notes. Keep this page open, you’ll return to it in the next step to add a note.
    5. Create an SR to ship out the will call, from KWF to Lasermach. Under special shipping instructions on your SR include the will call #. Enter the SR # both on the job page under Production Notes AND on the will call notes under Order PO (ex PO 123456 SR #12345). You can now close both the will call page & the SR page & focus on the job page.
  5. Now that the goods are arranged to ship to the decorator, you can begin calculating production & transit times & charges on the job page
    1. Check with Lasermach if there is a firm NBD on the job page, you may need to expedite shipping on the SR so the bases & cubes reach them sooner
    2. Standard production is 10 days
    3. Lasermach always drop ships the awards for Kotis: pricing is $5 net per domestic address and $10 net per international address. Calculate your delivery date based on the farthest address from Lasermach, FOB Woodinville WA 98072.
    4. Charges:
      1. Setup fee – per order: $35 net
      2. Kitting fee – per award: $4 net (for adding cube to base, insertion into pillow box & adding ribbon or crinkle before shipping)
      3. Decoration fee – per award: $5 net (for adding name plates to each base)
      4. $5 net per domestic address
      5. $10 net per international address
  6. Once charges have been calculated & ESD/IHD figured, you can send this off to Lasermach. Snooze to send tracking for the bases & cubes & adjust ESD/IHD as needed if there are delays in receipt of bases/cubes.
  7. When your SR ships, send Lasermach the tracking number with ETA & track the delivery yourself to make sure it arrives as scheduled. Contact shipping@ as needed for assistance. Once the package shows delivered, confirm with Lasermach that they have received all bases/cubes & reconfirm the ESD. Adjust job page as needed, keeping AM updated.
  8. Follow up like a normal job, confirming WO, reaching out for tracking, updating AM & troubleshooting as needed & as processes require.
